POSITION OVERVIEW //
The Account Executive, Meetings & Incentives, will work with the Senior Director, Meeting & Incentives, and other team members to plan and execute client programs within the meetings, incentives and corporate event space. This will include, but is not limited to, hospitality programs, business meetings, brand launch meetings, etc. The Account Executive role is a support-based role requiring a high level of attention to detail that is critical to the client work as well as the M+I team’s adherence to company processes, procedures and policies.
KEY CONTRIBUTIONS //
In collaboration with M+I team members, assist with various aspects of client programs
Guest registration, website development support, attendee reporting
Hotel and venue relationship management
Staff training and management
Prepare and distribute planning call invitations, agendas and post-meeting notes.
Sourcing
Procurement support
Program coordination for site visits and onsite execution
Other duties as assigned
Maintain a solid understanding of the internal GMR document systems and processes
WorkFlowGen, CostPoint and other required GMR documentation
Commissions Reporting
Manage the Group Hotel Process
GMR program and billing codes
Maintain Program Documentation
Support and maintain detailed event project plans, meeting specifications and training documents.
Assist in conducting thorough post-event financial reconciliation and vendor payments.
Group Hotel Process, Commissions tracking, IATA membership
Possess a general knowledge of the hospitality industry
Sourcing, contracting, planning, budgeting, cost savings negotiation and tracking, vendor management, food and beverage planning, entertainment, décor, room block management, registration site development, ground transportation, air travel, audio/visual and production, on-site staff training and management, site and planning visit development and execution.
Develop and maintain a professional working relationship with the client and internal GMR teams.
Maintain working relationships with industry and GMR vendors.
Understand and utilize GMR internal systems to ensure compliance.
Know, understand, and adhere to GMR company policies and procedures.
Travel as needed (up to 15%).
EDUCATIONAL AND EXPERIENCE REQUIREMENTS //
Bachelor’s Degree or equivalent experience.
3+ years of relevant industry experience.
Event planning, project management and on-site event execution experience.
Event sourcing, negotiating and contracting experience.
Previous event budget management experience.
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Familiarity with Cvent (registration, sourcing and social tables) a plus.
